ASP Treasurer Transition Steps (2014)

~Note that the Treasurer will lose some anonymity with banks, Paypal, Post office and IRS.  The ASP-AFG support group will be listed in all areas, however the treasurer as admin will need to share their name and address.

  • Current treasurer meets with new treasurer elect approximately
  • 1 month before the transition is to go into effect.
  • Current treasurer presents an overview of the job
    • Collect and deposit funds
    • Pay group bills
      • Monthly ISP server fee is auto debited
      • PO Box
      • Newcomers literature as needed
      • Other expenses
    • Reconcile bank account monthly, send copy of bank statement to List Administrator.
    • Prepare the financial statement and send to Webmaster for posting to the site.
    • Report to the general meeting and pass the basket (email sample is on page 3 of this document)
    • Quarterly donation to service arms is excess over prudent reserve

Transition/Rotation Notes:

  1. New Treasurer purchases local post office box —suggest choosing a 3 yr. option. Current treasurer will send check. Account should be opened under the name ASP-AFG
  2. New treasurer selects a bank of their choice. Should be easily accessible and preferably not have fees.
  3. Once the PO Box is established, the new treasurer needs to apply for an EIN # here. https://sa2.www4.irs.gov/modiein/individual/index.jsp
    1. To start the application process, you will need to choose the type of legal structure. Our group falls under additional types and—community or volunteer group
  4. Setup business account—Account name, ASP-AFG
    1. Current treasurer will send a $100 (or whatever the new bank requires) check to the new treasurer to get the account setup. New treasurer should confirm with bank that $100 will be enough to get started.
    2. Account should include the List Administrator***
  5. Once bank account is setup, contact Paypal to change name on the merchant account. The name on the account will be the current treasurer and will need to be changed to the new treasurer. Documents to send will be listed on the Paypal site. See page 2 of this document for Paypal instructions as of 3/2014.

    3. Gather information as noted on the next page (as of March 2014), this is the same process we followed in 2011.
  1. Contact Esosoft with new bank account/treasurer info for auto debiting the monthly $99 service fee.
  2. Work with Webmaster to update the ASP Website.
  3. When bank account, post office box and website are ready, the outgoing treasurer will send a check/transfer funds to the new treasurer and submit forwarding address info to the post office.
  4. Once the final bank statement is received the past treasurer will do a final reconciliation and close the old account.

Business Contact Name Change

To process your name change request, you need to fax in additional information. Please provide a current photo identification and one of the other following documents:

  1. A copy of a valid photo identification showing your new name. 
    Acceptable forms of photo identification are a driver’s license, passport, or any other state or government issued photo identification.
  2. A copy of a recent utility bill showing your new name and address exactly as they appear on your PayPal account.
  3. A copy of a recent bank statement for the bank account listed on your PayPal account (if applicable).
  4. A copy of a recent credit card statement for the credit card listed on your PayPal account (if applicable).
  5. Please include a letter on company stationery indicating the primary email address, current name, address, and telephone number on the PayPal account, the reason for the name change, and the new business contact name.

To process your request efficiently, please ensure that your documents are valid and legible. As always, any personally identifying information that you submit to PayPal remains secure and is never transmitted to any third party.

If you are not able to upload or fax your documentation, you can mail the documents to this address.
