Greeter Instructions 2015

These are the instructions/guidelines for the Greeters at A Serenity Place.

  1. Greeters receive an inquiry regarding ASP. Inquiries may come directly from the inquiring individual or be forwarded from the List Administrator or Greeter Chair.
  2. The Greeter responsible for their part of the alphabet [based on email address] responds to the inquiry.
    a. Send Greeting Number 1 to person.
    b. Change the Subject line to say: “Inquiry to ASP”
    c. CC: your Greeter partner and the Greeter Chair so they know a response has been made d. Don’t delete this email. File it in a folder called “inquiries”
  3. Greeter receives a response from the person inquiring. Read the response and check for minimum required information including
    a. Request to join A Serenity Place.
    b. Something that states they have read the founding statement and policies for A Serenity Place.
    c. A statement that describes how the person meets the requirements of the Third Tradition (this means something that says another person’s drinking has deeply affected their life.) A statement that says that the person has been or is a member of Al-Anon but not otherwise saying HOW they qualify is NOT sufficient. Additionally, since Al-Anon has no opinion on outside issues, including other addictions or problems, we keep our focus on recovery from alcoholism.
    d. The name the person wants to be called by our members.
    e. If they are new to Al-Anon or to new on-line meetings only.
    f. How they found out about A Serenity Place.
    Optional information:
    g. the person’s Al-Anon Anniversary date;
    h. Where they are from (city, state/province/region)
  4. If the Greeter receives an adequate response to the six (6) required items described above (a, b, c, d, e, f), proceed with subscribing the person as described in Step 5 below. If the greeter does not receive an adequate response from the person, then the greeter can:
    a. Write the person back requesting clarification or additional information or
    b. Contact the Greeter Chair and/or List Administrator for assistance.
  5. Greeter sends a Subscription request to the List Administrator and Greeter Chair.
    a. Forward the note the potential member sent to the List Administrator and Greeter Chair.
    b. Change the Subject line to say: “Please Add”
    c. The “Please add” message says “Please add [Name]. Her email address is name@example.com.
    d. Don’t delete the email you received from the potential member. File it in a folder called “please add”
  6. List Administrator and/or Greeter Chair sends subscription notification to the Greeter.
    a. Greeter sends Greeting Number 2 to the new member.
    b. Subject line says: “Welcome to ASP”
    c. File the subscription notification in a folder called “Subscribes”
    Note: The server automatically sends a Welcome Letter from the List Administrator to the new members when their email address is subscribed. It has different information than the letter you are sending.
  7. Send a message to the Meeting to welcome the new member to ASP. Send a note to asp@asp-afg.org to introduce the new member by the name the have selected to use and the email address they used to subscribe to ASP. Do not use a cc: or the message will not go through.

Note: The qualification letters written to the greeters are private shares and are to be treated just like any other share in Al-Anon – they are not to be given to anyone else, EXCEPT the Greeter Chair (routinely) and/or List Administrator. Periodically, greeters should purge personal correspondence from their computers – we do not maintain long-term archives of personal correspondence as trusted servants of A Serenity Place.

Greeting Process

All inquiries are divided into two parts of the Alphabet – ‘A through M’ and ‘N through Z’. In order to decide who is going to respond to the inquiry you must look at the first letter of their email address. In the case of numbers they will go to the ‘N through Z’ person as that part of the list is a little slower than the first half of the alphabet.

If an email address reads:

  • 01car@yahoo.com or newcar@yahoo.com, it will be answered by the greeter who is taking care of the second half of the alphabet as it addresses all that start with any letter ‘N through Z’ and numbers.
  • dodgecar@yahoo.com, it will be answered by the greeter who is taking care of the first half of the alphabet as it addresses all that start with any letter ‘A through M’.

Once you figure out who is going to respond to the potential member, this is the process you will follow:

  • You receive an inquiry and reply with Letter 1 – Inquiry Letter. Please use their first name (if they have supplied one in their email) or the name in their email address or friend instead. Personalizing the letter helps them to feel connected to us.
  • They reply to Letter 1 and answer the questions.
  • You send a request to the List Administrator to add them to the list.
  • When you receive a subscription notice then you will send out Letter 2 – Welcome to ASP to the new member.
  • After sending out Letter 2 you will send out a letter of introduction and welcome to the recovery meeting.

Please cc: Greeter Chair and your Greeter partner on all correspondence with a potential member so that we can all see the flow of the emails. This is necessary in case we must pick up where you left off with a member for any reason.
