These are the instructions/guidelines for the Greeter Committee at A Serenity Place.
The Greeter Committee consists of the Greeter Chair and 3 Greeters.
The Greeter Chair is elected by the members of ASP in the Business Meeting and serves for 3 years.
The Greeters are appointed by the Greeter Chair and serve for one year. Greeters must have been a member of ASP for a minimum of one year before serving as a Greeter.
- Prospective members find ASP at our Home Page. Those interested in joining ASP are directed through a series of web pages that provide the prospective member with information that we have found to be critical to new members. After reading and acknowledging the information on these pages, the prospective member is given a form to complete:
a. Name.
b. Email.
c. A description of how they qualify for Al-Anon, acknowledge that they have read the web pages, and that they want to join ASP. - Prospective member presses the “SUBMIT” button on the form; the server emails the form to the greeters@asp-afg.org.
- The server forwards greeters@asp-afg.org email to greeter’s individual email addresses. This can be either a greeter’s personal email or an ASP-based email.
- Greeters are assigned to days of the week, and will receive the form and process that prospective member as assigned.
- The Greeter checks the form for the required information. If the form is incomplete, the Greeter emails the prospective member asking for clarification or additional information.
- After confirming the form is complete and that the subscription process can begin, Greeters will send their own personal welcome to new members. Greeters may use either their personal or ASP email addresses for this purpose.
- If the form is complete, the Greeter emails an instruction to the server to subscribe that prospective member to ASP.
- Address email to: asp-request@asp-afg.org
- Leave blank SUBJ line blank
- Type “subscribe address=XXX@YYY.com” in the body without the quote marks.
- NOTHING else, no signature, no nothing.
- Once a day the Greeter Chair logs into the ASP Mailman server and approves new members to ASP.
- Server automatically sends each new member a Welcome Letter, and a notice to both Greeter Chair & List Administrator that new members have been subscribed.
- The Greeter sends a message to the ASP asp@asp-afg.org welcoming each new member to ASP using the name and email they have selected for ASP.
Note: The qualification letters written to the greeters are private shares and are to be treated just like any other share in Al-Anon – they are not to be given to anyone else, EXCEPT the Greeter Chair (routinely) and/or List Administrator. Periodically, greeters should purge personal correspondence from their computers – we do not maintain long-term archives of personal correspondence as trusted servants of A Serenity Place.
ASP’s Greeting Process
Each greeter is given a schedule and is assigned to 2 or 3 days a week.
In order to decide who is going to respond to the inquiry you must look at the time and date the email arrived in your in box. Time zones can be tricky so communication among the greeters and greeter chair is important.
Please cc: Greeter Chair on all correspondence with a potential member so that we can all see the flow of the emails. This is necessary in case we must pick up where you left off with a member for any reason.
